Registration for my event opens in 2 months - should I list the event now or closer to opening?

You should definitely sign up now. Although registrations are not open for a while yet, your Event Page with pictures and event descriptions will be publicly available to our global audience of runners. Runners also have the option to add your event to their ‘bucket list’ and receive a notification by email once registration opens. Plus, World’s Sports Group doesn’t charge any fees other than actual commission, which means publishing your Event Page 2 months in advance won’t cost you any extra.

What happens AFTER my event has taken place?

Within a few days, WSG will transfer the net registration fees to your bank account. Once registration opens for the next edition of your event, WSG or the organiser will update any relevant event information and ticket prices, and open registrations again.

How does World’s Sports Group transfer registration fees to the organiser?

WSG transfers the net fees (gross fees with commission deducted) to the organiser in portions of 2,500 EUR equivalents or, at the latest, within 10 days of the event taking place in cases where the net amount is lower than 2,500 EUR.

Where do I find the registration data?

All registration data will be accessible in your account.

Is RaceOffice™ GDPR compliant?

Yes! We follow the strictest legal frameworks for customer data following GDPR - European Data Protection Act (implemented 2018). Under GDPR, World’s Sports Group acts as a "data processor" whereas the organiser is the "data owner". This means the organiser retains full control of the data, which can easily be edited, deleted or exported at any time. World’s Sports Group does NOT use personal data for any other purposes apart from processing the event registration!

Will World’s Sports Group assist in setting up the Event Page?

Yes. As soon as you sign up as an organiser, our Customer Success Team will get in touch to help get your event set up. Our focus will be on setting up your tickets and registration form correctly. You will be asked to fill out as much information on the actual Event Page as possible, as you will know far more about your event than us. Once all parties are happy with the content, World’s Sports Group will publish the page and registration opens.

Do I need to renew my contract with WSG on an annual basis?

No. Your contract runs on an ‘until further notice’ basis. This means that unless the organiser explicitly terminates the contract, WSG will initiate a re-activation of the Event Page etc as soon as the organiser has opened registrations on its own website.

Are registration fees kept separate from the funds that Worlds Sports Group use to operate their business?

Absolutely! Separated and protected.

How can World’s Marathon help me to sell add-ons such as medals and shirts?

WSG’s Marketplace can help you sell any add-ons available via your regular channels.  Event souvenirs are very popular souvenirs with our international runners and products can be set up quickly and easily in the same way as event tickets.

How is registration data transferred from RaceOffice™ to my current registration system?

WSG offers a webhook solution in which registration data is transferred automatically from our system to yours. There is also the option to create a csv report which can be uploaded manually onto your system.

Do WM send merchandise/advertisement to all ”my” registrants?

No. In order for any registrant to receive a newsletter or any other offers from World’s Sports Group, the registrant has to actively select this option. The default option is to not subscribe to anything. Registration for an event over our platforms does neither require a user account nor subscribing to any other send-outs from World’s Sports Group.

What are my obligations as an organiser, when my event is on your marketplace?

All obligations can be found in the User Terms document that has to be approved prior to signing up. The organiser shall at all times keep the ticket prices identical on the Marketplace vis-á-vis the own website; the organiser shall notify WSG about any cancellation/postponement/other change to the event; the organiser shall include the runners from WSG into their own registration ‘loop’, for these runners to receive the same information and offers from the organiser.

I would also like to sell tickets for my Virtual Run over the Marketplace. Do I need a separate account for Virtual Runs?

You do not need a separate account to sell Virtual Run tickets. Simply add another event to your account and select ‘Virtual Event’.

What is WM’s cancellation and refund policy?

World’s Sports Group grants the runner a 24h money-back guarantee ‘no questions asked’. After the 24 hours we apply the respective organiser’s policy for refunds and cancellations.

How do I know that someone registered for my event?

You will be notified by email as soon as a runner registers for your event.

What is World’s Sports Group’s webhook and how can it help me?

The World’s Sports Group’s webhook API makes it possible for you as an event organiser to fully automate the data transfer from World’s Marathons to your own registration system.
